Payment, Billing, Penalties and Refund Policy
Effective 17 October 2026. Applies to all Vyntez products.
This policy applies to every paid Vyntez plan, subscription, add-on and fee (for example Vyntez People, VyntezMail, VyntezConnect and Vyntez AI plans, and Vyntez convenience fees). It forms part of the Terms and Conditions. Purchases from sellers and suppliers on Vyntez Buddy, Vyntez Travels and Vyntez Park follow their own refund rules, as section 7 explains.
1. Plans and prices
- Prices, what each plan includes, and the billing period (monthly or yearly) are shown in the product before you pay. Per-user or per-employee plans are billed on the number of active users or employees in the period, as the product explains.
- Prices are in Indian rupees unless shown otherwise, and are exclusive of GST (currently 18% on software services) and other applicable taxes, which are added to the invoice.
- We may change prices for future periods. We tell you at least 30 days before a change applies to your next renewal; the old price applies until then.
2. Free trial
- Where a free trial is offered, it lasts for the period shown when you sign up. You are not charged during the trial. If you do not subscribe by the end of the trial, the paid features stop; your data is kept for 30 days so you can subscribe or export it.
3. Invoices, GST and TDS
- We issue a GST-compliant tax invoice for every payment, available in the product's billing page. Give your correct GSTIN and billing address before paying; we cannot change an invoice once it is filed in a GST return, except by a credit or debit note where GST law allows.
- If you are required to deduct income tax at source (TDS) from our fees, deduct only at the correct rate and send us the TDS certificate within the time the law sets. If the certificate is not received or the TDS does not appear in our tax records, the shortfall is payable as an outstanding amount.
4. Payment methods and auto-renewal
- Payments are made through our payment gateways, Razorpay or Cashfree, by card, UPI, net banking or other methods they offer. Vyntez does not see or store full card or bank details.
- Subscriptions renew automatically at the end of each billing period until cancelled. Recurring card and UPI payments follow the Reserve Bank of India's e-mandate rules: you get a pre-debit notice at least 24 hours before each charge, and charges above the limit the RBI sets need your additional authentication each time.
- Cancel auto-renewal at any time from the billing page; it takes effect at the end of the current paid period.
5. Late payment and penalties
- Invoices not paid automatically are due within 7 days of the invoice date unless your plan or order says otherwise.
- Overdue amounts carry interest of 1.5% per month (18% a year), or the maximum the law allows if lower, from the due date until paid. We may also recover reasonable collection costs.
- If an amount is 15 days overdue, we may suspend paid features (users can still sign in to view and export data). If it is 30 days overdue, we may end the subscription; data is then kept for 30 days for export and deleted afterwards.
- Vyntez People payouts: salary and claim payouts through the platform are released only when the payout account holds enough funds. Fees charged by banks for failed or returned payouts caused by wrong details or insufficient funds are payable by the customer.
- Chargebacks: if you raise a chargeback for a payment that was correctly charged, we may suspend the account until it is resolved, and any fee the payment gateway charges us is payable by you.
6. No refunds
- All fees are final and non-refundable once paid, after any free trial has ended. This includes fees for partly used periods, unused users, seats, credits or features, downgrades, and accounts suspended or ended for breach of the Terms.
- When you cancel, there is no refund; you keep full access until the end of the period you have paid for, and then the plan ends.
- Billing errors are not refunds and are corrected: if you are charged twice for the same thing or charged the wrong amount because of our or the gateway's error, tell us within 30 days and we reverse the extra amount to the original payment method within 7 working days of confirming it (the bank may take longer to show it).
- Nothing in this policy removes a right to a refund that the law gives you and that cannot be excluded by contract, for example under the Consumer Protection Act, 2019 where a service is deficient, or under consumer law in your country.
7. Marketplace, travel and parking purchases
- When you buy from a seller on Vyntez Buddy, book travel through Vyntez Travels, or book parking through Vyntez Park, the seller's, supplier's or operator's cancellation, return and refund policy shown before payment applies, as the Consumer Protection (E-Commerce) Rules, 2020 require.
- Refunds that a seller or supplier approves are sent to the original payment method; we process our part within 7 working days of their approval.
- Any Vyntez convenience or service fee is non-refundable, unless the booking or order fails or is cancelled by the seller or supplier, in which case it is refunded with the booking amount.
8. Disputes about billing
- Raise any billing question within 30 days of the invoice or charge with the Grievance Officer (grievance@vyntez.com). Pay the undisputed part on time while we look into it. Unresolved disputes follow the dispute-resolution section of the Terms (arbitration seated in Varanasi).
